AI services pricing: fixed prices, agreed before we build

Every package below has a fixed price and a fixed scope. Prices are in US dollars, exclude AI model usage fees and tool subscriptions, and are the same for US, UK and Singapore clients. Where a price is not fixed yet, we say so instead of leaving it blank.

How much does workflow automation cost?

Every engagement starts with a two-week AI Workflow Diagnostic at $1,500. A pilot of one workflow costs $4,000 and takes three to four weeks. Production builds start at $6,000 per workflow and are quoted after the pilot, so you know the full price before we build. The same ladder applies to AI integrations and AI agents.

What the $1,500 Diagnostic includes

  • Process inventory: up to 15 repeat processes scored on volume, time, error cost and data readiness.
  • Top 3 candidates: a one-page profile each: trigger, steps, systems, exceptions, approval points.
  • ROI estimate: hours and cost saved per month, using your volumes and salaries, assumptions written out.
  • Readiness checklist: data access, APIs, approval rules, the risks that need a human review step.
  • Solution recommendation: n8n, Make, Zapier or custom; which model, if any; whether an agent is needed; build versus buy.
  • Pilot proposal: scope, success metric, timeline and a fixed price, usable with any vendor.

How the two weeks run

01Day 1
Kickoff, 60 minutes. Goals, suspected processes, who we interview, what samples we need.
02Days 2–5
Interviews and samples. 45 minutes with three to five people; exports and volumes collected.
03Days 6–8
Scoring and shortlist. Every process scored; top three chosen with you.
04Days 9–12
Analysis. ROI model, readiness checklist, tool recommendation, pilot scope and price.
05Days 13–14
Report and readout, 60 minutes. Report delivered 24 hours before the call.

What we need from you

Three to five people for one 45-minute interview each; screen recordings or exports; rough monthly volumes. Read-only access helps but is optional. We never need write access. NDA is signed before any sample.

What if nothing is worth automating?

Then the report says so, with the reasons. The fee is the same and no pilot is proposed; that outcome still saves you a failed build.

How much does human-in-the-loop review cost?

A free calibration sample first, then a two-week pilot review batch at $1,500 fixed. Production review is $10 per reviewer hour, $9 per hour at 1,000 or more hours a month, or a dedicated reviewer at $1,500 per month. Domain-expert review for payroll, HR and finance work is $20 per hour.

How much do payroll and EOR operations cost?

Payroll exception operations, multi-jurisdiction payroll operations and EOR/PEO compliance operations are priced per employee per month or per workflow, depending on volume and countries covered. Prices are quoted after a 30-minute scoping call. AI Oversight for payroll, AP and EOR is billed at the expert reviewer rate.

How much does AI assurance documentation cost?

Output and model validation, code and quality verification, risk and governance documentation, EU AI Act documentation, evidence and traceability documentation, and error and incident documentation are sold as document packs. Each pack is quoted after a 30-minute scoping call, with the deliverables listed before you approve.

Pricing questions

Why is the pilot $4,000 when freelancers charge a few hundred dollars?

A gig delivers a connection; the pilot delivers a tested workflow on 20 to 50 real cases with before-and-after numbers, error handling, a human approval step and a fixed production quote. The price covers roughly 104 hours of engineering and testing, a written report and a company contract with NDA and DPA.

Can we skip the diagnostic and go straight to a pilot?

Yes, if you already have the process mapped, the volumes and the success metric. Send them with your request; if they are complete we quote the pilot directly. If they are not, the diagnostic is the faster route, and $750 of it is credited to the pilot.

Are prices different for UK or Singapore clients?

No. Prices are in US dollars and the same for every country we serve. UK clients receive the IDTA or UK Addendum and Singapore clients the PDPA transfer clause at no extra charge. Bank charges on international transfers are borne by the payer.

What happens if the pilot fails?

You receive the go/no-go report with the measured results and the reasons. If the workflow cannot reach the agreed metric, no production quote is issued and you owe nothing beyond the pilot fee. Where the failure is on our side, rework within the pilot scope is free.

Do you offer retainers or hourly rates?

For builds, no; fixed price only. For human-in-the-loop review and dedicated teams, monthly rates apply because the work is continuous. Every rate is written into the contract with the agreed turnaround, quality target and rework terms.
