Which AI outputs in payroll, AP and EOR do we review?

We review six kinds of AI output: payroll calculations, payroll variance flags, invoice capture and matching, duplicate and bank-detail alerts, payment runs, and EOR and HR documents. Each is checked against its source records before it is released, and every correction is logged.

Payroll calculations

AI-calculated gross-to-net pay, overtime, allowances, statutory deductions and tax withheld, checked against timesheets, contracts and the previous period before the run is locked.

Payroll variance flags

The anomalies your payroll AI raises, such as net-pay swings or missing deductions: each flag investigated, cleared or corrected, with the reason written down instead of a silent dismiss.

Invoice capture and matching

AI-extracted invoice fields, GL coding and two- or three-way matches against purchase order and receipt, sampled below your threshold and checked in full above it.

Why not rely on the AI tool’s own checks?

Built-in AI checks find anomalies; they do not give you an independent person accountable for the decision. ADP’s Payroll Variance agent, for example, suggests corrective measures “for HR and payroll teams to review and approve”, and AP platforms route AI suggestions through human approval. The review step still lands on your team, at month-end, on top of everything else.

Which laws and standards call for human oversight of AI in payroll and HR?

The EU AI Act, the GDPR’s rule on automated decisions, ISO/IEC 42001 and the NIST AI Risk Management Framework all expect a competent person to be able to check and overrule AI, and to leave a record that they did.

What the law says

EU AI Act, Annex III point 4AI used in recruitment, and for decisions on terms of work, promotion, termination, task allocation and monitoring or evaluating workers, is high-risk. Pure pay calculation usually is not; performance-linked pay and bonus allocation can be.
EU AI Act, Articles 14 and 26Providers must design high-risk AI so people can oversee it; deployers must assign that oversight to people with the competence, training and authority to do it, and keep the system’s logs for at least six months. Applies from 2 December 2027.

Is it safe to let an outside team review payroll and supplier payments?

Yes, when the reviewer can check but not pay, sees only the data the check needs, and signs the contracts before getting any access. Every engagement is set up that way.

NDA and DPA first: a mutual NDA and a data processing agreement that meets GDPR Article 28, plus the cross-border transfer clauses your country requires, signed before we see a payslip or an invoice.
Review, never release: our accounts can approve or reject items in the review queue but cannot release a payroll or payment file.

What is AI oversight for payroll?

AI oversight for payroll is a named person checking what an AI system calculated or decided about pay before it is released: gross-to-net figures, deductions, variance flags and payslips. The reviewer approves, corrects or rejects each item and records why, so the company can show an auditor or an employee who checked the AI’s output and when.

What does human-in-the-loop mean in accounts payable?

In accounts payable, human-in-the-loop means the AI captures, codes and matches invoices, but a person reviews the exceptions and high-risk items, such as low-confidence extractions, match failures, possible duplicates, new supplier bank details and payments above a threshold, before the payment run is approved. Corrections are logged so thresholds can be tuned over time.

Is AI used in payroll high-risk under the EU AI Act?

Usually not for pure calculation. Annex III, point 4 of the EU AI Act lists AI used for recruitment and for decisions on terms of work, promotion, termination, task allocation and monitoring or evaluating workers as high-risk, so AI that feeds performance-linked pay or bonus decisions can fall inside it. Those duties, including the deployer’s Article 26 duty to assign competent human oversight and keep logs for at least six months, apply from 2 December 2027 under Regulation (EU) 2026/1744.

Does the GDPR allow fully automated payroll decisions?

Article 22 of the GDPR and UK GDPR gives people the right not to be subject to a decision based solely on automated processing that has legal or similarly significant effects, unless an exception applies, such as necessity for a contract, authorisation by law or explicit consent. Even then the employer must provide safeguards, including the right to obtain human intervention. A documented human review step is the simplest way to show that intervention is real.

How is AI oversight different from a payroll audit?

A payroll audit looks back at completed runs, usually quarterly or yearly, and samples for errors after the money has moved. AI oversight works before release on every run: the reviewer checks the AI’s output while it can still be corrected, and the override log becomes evidence for the next audit.

Which payroll, AP and EOR platforms can you work with?

Any platform that can give a named reviewer account or a regular export, for example payroll and HR systems such as ADP, Workday, Deel or Rippling, AP tools such as Tipalti or Stampli, and ERPs such as NetSuite, SAP or Xero. The readiness audit confirms access for your exact stack before we quote.

Do your reviewers approve or release payments?

No. Our reviewers approve, correct or reject the AI’s output and record the decision; releasing the payroll or payment file stays with your authorised signatory. Keeping review and release in different hands preserves segregation of duties, which auditors test in any payment control.

What does an AI override log record?

Each entry records the run or batch, the AI system and model version, the input, the AI’s output, the reviewer’s decision, the corrected value, the reason, the reviewer’s name and the time.
